How do I Hire a Space?

At A Perfect Space we cater to a variety of locations, and will always be able to find the perfect space for you.

Location Scouting

It is free to join the platform, access our database to search and create your own shortlists. You pay a 15% location hire fee.  Location scouting services are priced on application.

Search, shortlist or just brief us!

Searching for a space is a simple and straightforward process. By using our search engine and shortlisting tools you can find the best space for your upcoming project, whether you are looking for a specific room, house or location. We currently cater for private spaces with public and commercial spaces coming soon so if you cannot find what you are looking for you can send us your brief.


When you are happy with the space you can request to book using the booking enquiry button via your shortlist or on the property profile page. Once our team has confirmed your request we will send you a quote. Once your quote is signed and accepted you can complete payment via credit card. For all bookings on the platform we require proof of your public liability insurance.

All bookings, quotes and invoices are managed on the platform by our team, and payments are managed via Stripe our payment provider.

What are the booking costs?

Booking Fees

A Perfect Space (APS) charge a 15% fee on the location hire and this is added to your quote. For Listers/home owners, APS will deduct the 15% fee before payment is made.

Additional Services

Additional fees for any services booked for your production such as location management, permits, location scouting, styling and event management fee can be serviced and added to your quote.

Standard Recce

A standard recce is your initial first inspection for a maximum of 45 minutes. There is no charge for this. To request a recce you can do this via the property profile page.

Technical Recce

For a technical recce this can take a bit longer and will involve testing logistics of the space. The charge for this is $350 for a maximum of 2 hours. To request a recce you can do this via the property profile page.


We may need to take a 30% bond, which will be held on credit only to cover overtime and any charges related to damages, rubbish removal etc. Our team will let you know if a bond is required for your booking.


Overtime is charged after 8 hours. Any hours outside of these are charged at an hourly rate equivalent to the location hire fee. This is charged at time of booking or using the credit card on file post booking date.


Cleaning fee is mandatory and charged on all bookings for COVID safe practice.

What is a 'Recce' and how do I book one?

A "recce" is a short term for a required viewing. This ensures that you can view your space prior to shooting and determine it will meet the requirements. This also provides an opportunity to learn about the space and ensure that it is the right space for you. You can book a standard or technical recce prior to confirming your booking, just select the Book a Recce button to submit an enquiry and select the type of recce you need.

  • If a recce leaves you dissatisfied with your choice of location, let us know and we can find the perfect space for you.
  • Standard industry practice is that you will need a standard initial recce and then a longer technical recce to sort out logistics before the day. We know how important this is to you, which is why we support both options.
  • To book a recce you can do this via your shortlist or from the property profile page using the 'Book a Recce' button.
What services do you offer?

As well as offering private locations with public and commercial coming soon, we can help with stylists, accommodation, transport and more.

How do payments work?

Payment for bookings

We accept credit card payments through our third party online provider Stripe for all bookings.

Stripe is an online credit card provider that has been audited by a PCI-certified auditor and is certified to PCI Service Provider Level 1.

When your booking is confirmed we will send you a quote to accept and pay online via Stripe.

Payment Terms

50% is payable at the time of booking, with the remaining 50% automatically deducted by Stripe from the hirer’s credit card 7 days before the booking date.

Last minute bookings, less than 7 days from the booking date, are 100% payable in full at time of booking.  Recce bookings are 100% payable in full at the time of booking.

Payments to owner/managers of the location are paid up front 24 hours prior to booking date.
How do I get paid?

Registering your details

For Listers/Home Owners, we use Stripe to facilitate the transfer of funds directly to your nominated bank account.  It is highly recommended once you have created a listing on our platform to update your payment details.  This ensures you get paid for a confirmed booking.  You will need to register your payment details via the Stripe onboarding process.  This will require you to provide ID verification and other information in order to fulfill the “Know Your Customer” (KYC) obligations.  Stripe requires the collection of this information on all Stripe account holders. These requirements come from the regulators and are intended to prevent abuse of the financial system.

Please allow 7 days to receive your funds for your first payment.  Subsequent payment timeframe will depend on your bank's clearance times.

What Insurances do I need?

Insurance for Hirers

To meet our Hirer Terms and Conditions policy, we ask that you provide proof of your current public liability insurance.  Your certificate of currency can be uploaded via PDF to your account profile.  Hirers should ensure they have a policy in place covering public liability and damage insurance for a sum not less than $20,000,000.00 (Australian dollars) including cover for death and injury of any persons using or attending the Location. 

Insurance for Home Owners

To meet our Lister Terms and Conditions policy, we ask that you provide proof of your insurance policy.  Your certificate of currency can be uploaded via PDF to your account profile.  Listers should ensure they have a policy in place covering all necessary building, contents, liability and business related insurance and has declared to its insurer all activities taking place at the Location, including listing the Location on the Website.  This should cover all reasonably foreseeable risk and loss from a hire via A Perfect Space for not less than $5,000,000 (Australian Dollars). Without limitation the Owner/Manager’s insurance for the Location must include $20,000,000.00 (Australian dollars) cover for public liability, including cover for death and injury. 

Why do I need Insurance?

As a home owner, you will generally need to tell your Insurer the following information as part of your general policy terms:

  • Whether you generate income from the property that is not Residential Rental Income
  • Whether a business operates from the property other than a home office

What you will need to ask your Home or Landlords Insurer:

  • Is there Public Liability cover if a guest/visitor hurts themselves or a guests/visitors property is damaged by something at your property

  • Is the property covered for damage to the building and contents caused by the guest/visitor?

Remember: Home Insurance policies are generally designed for Owner Occupier usage only and unless declared otherwise, the Insurer will assume that the property does not generate an income. Landlords Insurance policies differ in that the intent of the property is to generate a rental return, however likewise income from a source other than a residential tenant is generally not factored into Landlords policies either

What happens if you do not declare the hiring activities at your property?

  • The Insurer may have the right to decline a claim and cancel your policy if they can prove that they would not have Insured the property had they known about the hiring activities. This has happened many times over the years

  • The financial consequences of a declined claim can last a life time and therefore it is always best to be on the front foot with your Insurer and tell them everything you are doing. A cheaper premium due to not declaring activities will cost much more if a future claim is declined due to non-disclosure

What you will need to ask the guest/visitor hiring your property:

  • Does the guest/visitor have their own Public Liability Insurance to cover any incident arising from their activities
  • Ensure you always have a signed agreement. If the guest wishes to return at a later date but offers a private arrangement rather than going through a professional platform, this is not recommended and we always encourage bookings to be placed through a professional platform should an incident occur

What happens if my current Insurer cannot facilitate a policy to cover my home being hired out?

  • Insurers are becoming more innovative and BJS Insurance have access to a number of underwriters who can consider this type of coverage.
